WW6404 - Manager - Health Information & Administration - (Full-time / Part-time) - Hepburn Health Service, Daylesford, VIC

  • Pay Rate: $42 up to $69 per hour

The Manager Health Information & Administration is responsible for overseeing the Health Information and Administration team in the efficient and effective delivery of a strategic and unified approach to health information management and administrative services across Hepburn Health Service.

The Manager Health Information & Administration will ensure the organisational values and HHS strategic directions are met through effective management of:

  • Health Service Health Information Management, including records management, clinical coding, patient administration systems management and forms administration.
  • Ward Clerk, Receptionist and Administration Services.
  • Frameworks supporting compliance with internal and external standards, policies and directions relating to health information management.

Responsibilities / Duties: 
  • Provide leadership, guidance and support to the Health Information Services & Administration team to ensure resource planning and management is effective, efficient and responsive to the needs of HHS.
  • Timely and high quality preparation of reports for internal and external stakeholders as relate to Health Information Management strategy and / or operations as required.
  • Work closely with the Manager Information Technology Services to support robust frameworks for organisational information management.
  • Maintain frameworks to ensure compliance with the requirements of external stakeholders, including regulatory, accreditation and funding agencies, including provision of regular and ad-hoc reporting as required (including VCR, VAED, VHES and / or other regulated extracts as may apply from time to time).
  • Continually improve the delivery of health information and administration services, including successful implementation of innovations supporting increased efficiency, effectiveness and service to internal and external stakeholders.
  • Ensure Health Information Services and Administration team members deliver services to all consumers and staff with respect, dignity and courtesy in an environment that is free from harassment and discrimination.
  • Ensure the effective operation of frameworks to measure the performance of the Health Information Services and Administration team and identify areas of improvement.
  • Develop, maintain and continually improve health information management and administration policies and procedures, as relate to the health information management and administration team and the broader health service.
  • Be responsible for health information management governance, including the management of clinical forms and other documents, and implement practices in line with directives on information management and security and facilitate the ongoing development of patient administration system(s) is conjunction with regional IT alliance and / or software vendors.
  • Be responsible for organisational records retention and destruction in accordance with the requirements of the Public Records Office Victoria (PROV) across Hepburn Health Service.
  • Provide a management structure that identifies skills among the team and facilities cross-training and up-skilling and continued staff development, including facilitating processes to ensure maintenance of accreditations, certifications and industry-specific training, succession planning and leave management to mitigate risks posed by key staff absences.
  • Participate in the annual budgeting process, including supporting the development of financial and capital budgets.
  • Active involvement in HHS initiatives to improve health service operations, including with respect to health information management and administration.
  • Develop and maintain productive relationships with HHS staff and management in the provision of services.
  • Liaison with Internal and External Auditors as required.
  • Contribute to improvement projects leveraging better practice theory and experience from other agencies, with a positive impact on health service functions.
  • Actively participate in the Staff Induction and Orientation Program and other relevant education activities.
  • Other tasks as directed by the Chief Financial Officer.
